Introduction to W-9 Form

  • The W-9 form is used by the IRS to collect taxpayer information.
  • Required for independent contractors, freelancers, and certain income recipients.
  • Helps the IRS track income for tax purposes.

Key purpose

To provide your Taxpayer Identification Number (TIN) (Social Security Number or Employer Identification Number) to a person or company paying you.

Who needs to fill out a W-9?

  • Freelancers and independent contractors.
  • Business owners receiving payments.
  • U.S. citizens or resident aliens.

Main parts of the form

Part I: Personal information

  • Name
  • Business Name (if applicable, e.g., sole proprietor).
  • Address (mailing address).
  • Taxpayer Identification Number (TIN): SSN or EIN.

Part II: Certification

  • Sign and date the form to confirm the information is accurate.
  • Indicate if you are subject to backup withholding (and explain if applicable).

Important notes

  • No specific deadline to submit a W-9; it’s provided when requested.
  • Ensure all information is accurate to avoid delays or penalties.
